Overview
The Metropolitan Police Service (MPS), responsible for law enforcement in Greater London, recently undertook a significant technological upgrade by installing 21 intelligent locker units across its various locations, to complement the existing 26 iLockerz systems that have been in operation for the last couple of years. Supplied by iLockerz, these PRO locker systems are designed to enhance operational efficiency and asset management within the MPS, and with a total of 47 smart locker systems now covering their area, fast access to equipment is guaranteed for front line police staff.
The units operate in three distinct modes (all from one easy to use 15 inch touch screen control panel), each addressing different logistical and operational needs of the police force. Integrated with the ServiceNow ITSM package, these modes ensure streamlined and secure access to essential equipment and IT assets – 24 hours a day, 365 days a year.
Solution
The advanced solution provided by iLockerz was threefold, catering to distinct use cases within the MPS. Firstly, for End User Services – where fast access to break-fix IT assets like laptops and tablets is required at the click at the button – locker compartments are pre-loaded by IT personnel, with these items being made accessible to staff upon approved requests through ServiceNow. The platform communicates with the iLockerz smart locker systems across all boroughs via the Open API offered by iLockerz, combined with some standard work flows with the powerful ServiceNow package. The end result is that users can simply enter the provided code at the relevant site to collect a new starter, refresh or break-fix device in minutes.
Secondly, for pool issue equipment such as radios, body- worn cameras, vehicle keys and log books plus other shared kit, the locker systems utilise Last-In, Last-Out (LILO) technology so that staff get fast access to suitably charged and ready to go equipment. For access, officers simply present their warrant card to borrow these items – with the locker system ensuring the issuance of the most charged equipment for operational efficiency. This process includes a full audit trail for accountability, which can be accessed by sufficiently authorised MPS staff via SSO (Single Sign On).
The third use case addresses the need for immediate replacement of essential items like PAVA (pepper spray), batons, and handcuffs. The locker systems – equipped with high security features which ensure that these Section 5 Firearms can be properly stored – require officers to complete a digital e-safety form upon issuance or return of items (with in-built e-signature mechanism via the touch screen), creating a digital record in the database. By utilising iLockerz smart locker technology the Met Police are therefore able to eradicate paper based e-safety forms, with a full audit trail of all PAVA movements and their associated forms being available via the web based iLockerz management software, at the click of a button.
Challenges
Before the introduction of iLockerz PRO locker systems, the MPS faced several challenges in managing and distributing critical resources such as IT assets, shared equipment, and replacement items. The process was often manual, time-consuming, and lacked real-time tracking, leading to inefficiencies in asset utilisation and delays in critical response times. There was also a need for a robust system to maintain an audit trail for sensitive items like firearms, ensuring accountability and safety compliance. The dispersion of resources across 31 boroughs in London added to the complexity of implementing a unified, efficient system.
