Downeys Car Rental, the exclusive franchise holder for Sixt in Northern Ireland, has established itself as a premier car rental service provider in Belfast. Recognising the pressing need for a more efficient and secure system for managing car keys, Downeys implemented an iLockerz Intelligent Electronic Locker System.
The success of this implementation served as a catalyst for exploring additional innovative solutions to further optimise their operations.
Solution
Initially, Downeys implemented an iLockerz key toolbox with larger doors to manage car keys more effectively at their service desk. Witnessing the benefits, they incorporated a customer-facing solution at the cruise terminal. This system allowed cruise passengers to pre-book cars, receive a code via email, and directly access the locker to retrieve their vehicle keys. This drastically reduced wait times, enhancing the overall customer experience. The locker system comprised two collection doors and a secure drop-off chute. The chute, leading to a compartment with the capacity to hold ten keys, was safeguarded with an anti-phishing mechanism, ensuring that only administrators could access the returned keys.
Additionally, iLockerz installed a 10-door system in the Downeys valet bay to manage internal key distribution. Half of this system was designated for dirty vehicle keys, while the other half was for clean, ready-for-hire vehicles.
This locker system catered to an array of vehicle types, from small to large, including electric and Irish vehicles. Upon a vehicle’s return, staff would log in using an authorised PIN, place the key in the appropriate locker, and input the vehicle’s registration. This process enabled the valet team to view the list of returned vehicles, clean them, and subsequently update their status in the locker system. The main office, in turn, could identify which vehicles were ready for handover to customers. The entire process was now indexed, establishing a systematic flow: dirty vehicles coming in, getting cleaned, and then the clean ones being rented out.
Challenges
The primary challenge faced by Downeys was their manual key handover processes, which were notably time-consuming for both customers and staff, often leading to extended wait times and workflow inefficiencies. Having addressed these concerns with the implementation of an automated iLockerz key toolbox, Downeys sought a solution to relieve congestion at their service desk located at the Belfast cruise terminal. When groups disembarked from cruise ships, long queues would form, posing delays which might compromise customer experience. Managing the return of keys outside business hours was also problematic.
Additionally, Downeys experienced internal bottlenecks with key management, as they lacked an organised system to differentiate between keys for dirty and clean vehicles, making it challenging to promptly avail cars for hire.
